Case Study: High Volume Translation of Patient Registration Documents

welocalize August 3, 2022

The pharmaceutical industry deals with stringent regulations from government agencies worldwide. From getting a medicinal product approved to entering a new market, pharmaceutical companies must submit numerous translated documents to comply with local language requirements. Strict regulatory translations are expected, given the responsibility to ensure the safety, efficacy, and quality of the drugs available to consumers.

Translating and Localizing Healthcare Information for Brazil

It is essential to ensure content meets specific European and national translation requirements.

With a population of over 212 million, Brazil is the largest country in South America. Although Brazil has a market value of nearly $21 billion globally, Anvisa, the Brazilian Health Regulatory Agency, is among the strictest and most demanding in the world.

Since 2021, this pharmaceutical company, (one of the largest in Brazil) has worked with Welocalize as a collaborating partner, translating over 500,000 words each month in 10 languages. But this time was different. They urgently needed 200,000 words translated in six days. Take a look at this video to find out more:

3 Key Highlights:

An Agile Localization Process

The key principle in agile localization is to break up parts of a project into smaller, manageable content chunks so teams can work on them simultaneously.

For this project, Welocalize ensured terminology coherence by using glossaries and automated QA checks and implemented a combination of translation memory (TM) and neural machine translation (NMT) to pre-translate all the content.

Content was divided into batches and assigned to different teams to work on in parallel. Native speakers were used to retype handwritten text. And content batches were assigned to a pool of dedicated linguists for post-editing and editing work.

Instead of waiting for all the documents to be completed, several quality control (QC) specialists worked in parallel to prepare the final deliverables.

A ‘Follow the Sun’ Approach

To maximize the number of global linguists, teams worked across multiple time zones, avoiding a 9-5 fixed schedule and spanned project teams across Asia, Europe, and Latin America.

Technology to Stir Up the Process

Automated central workflows, machine translation (MT) sped up the process with global terminology libraries and TMs to keep translations consistent. Close collaboration allowed live feedback, so corrections were made immediately.

Six days later, the client was able to submit batch records to Anvisa on time and of top quality:

“The overall understanding of the market’s needs, especially deadlines related to national administrations, is excellent. Collaborating and partnering with Welocalize ensured matching our deadlines with the highest quality,” says José G. Martinez-Figueroa, Director of Regulatory Affairs – Latin America & Canada, Global Drug Development.
